Simplify Your
Responsibilities:
Our office will handle
all cruise related administrative tasks, freeing
your staff and allowing them to concentrate on
other things.
Speak your language:
Nichols Cruise stays
abreast of current CME regulations, requirements
and trends and will work closely with you keeping
these in mind. We are versed in the
ACCME Essential Elements including the new Standards
for Commercial Support. We are therefore
able to understand the requirements and the challenges
you face. We will work with you as a
team to abide by the guidelines of the ACCME, AMA
and specialty societies when applicable, as well
as your own in-house structure.
Site Selection:
Fundamental to a successful
program on a cruise is determining the most appropriate
ship, itinerary, and season. If any
one of these aspects is wrong, your program will
not be successful. Nichols Cruise has
experience, product knowledge and personal relationships
with cruise lines to guide you in choosing the
right cruise, meeting the needs of your department,
your coordinators, and your participants. Once
that decision is made, together we will then review
the components you might like to include in the
package you offer.
Contracting:
Our office is here
to serve your best interest. We negotiate
with the cruise lines for the optimal rates, services
and amenities. We are familiar with
cruise line contracting and work on your behalf
to achieve an agreement that works to your greatest
advantage. We know what can and should
be done, and what is to be avoided. We
also know how to handle special circumstances and
requests which inevitably arise.
Marketing Assistance:
Nichols Cruise is happy
to advise you in marketing this unique program. We
will obtain any cruise-related marketing materials
you may need, and we will show you how to save
significant money with your marketing efforts.
Booking Management:
Program participants
contact our office, not yours, for additional cruise
information, to secure reservations, pay for their
cruise, notify us of special requirements, make
special requests and to ask questions.
Participant Communication:
Most questions participants
have after registering for a program are travel
or logistic related and would therefore be directed
to our office, not yours. We provide
participants with timely and valuable information
about their upcoming cruise. Additionally
we are able to handle their special needs and requests.
Manage Cruise Related
Considerations:
By their nature, programs
on ships include a number of unique considerations. Nichols
Cruise is familiar with the variety of special
issues relevant to holding CME programs on cruises,
and is there to help providers and participants
navigate through them.
Detailed Program Arrangements:
Nichols Cruise will
organize conference facilities, AV equipment, refreshments,
breaks, dining reservations, receptions and if
desired, private check-in, special events, shore
programs, stateroom deliveries, amenities, hospitality
desks and speakers’ arrangements and accommodations.
Last-Minute Programs:
We are able to expertly
handle last-minute program arrangements.
Onboard Assistance:
Escorting your group,
we are onboard to manage all cruise related aspects
of your program, including the set up of meeting
space, audio-visual needs, refreshments and breaks. We
realize that there may well be last-minute requests
or changes and we are there as liaison with the
ship to handle them. Additionally, we
are present to offer personal assistance to the
program organizers, leaders, participants and their
guests.
Finance Management:
Our office will help
you maximize the effectiveness of your expenditures. We
will work with you to maintain your budget. We
manage all cruise-related expenses, deposits, payments
and refunds.
WHAT
YOU DO
You and your program leaders
would be responsible for marketing, program content,
hand-out materials, program registration, accreditation
and honoraria if applicable.
